CRM systems
A CRM is where a business keeps everything about its customers, including who they are, what was said, what was quoted and what happens next. We design and build CRM systems around the way your business already works, whatever it does, and keep changing them as you do.
The big CRM platforms sell one product to every business, so you end up changing how you work to fit their screens. We start with how your team already works and build the system around it.
What a CRM is for
Most small businesses start with a spreadsheet, an inbox and somebody's memory. That works until two people ring the same customer, a quote goes unchased because the person who sent it is on holiday, or nobody can say how many enquiries came in last month. A CRM (customer relationship management system) files every enquiry, call, email, quote and job against the customer it belongs to, so whoever picks it up next sees the whole story.
Sales teams use one to see which leads need chasing. Service teams use it to keep track of jobs and requests. Owners use it to see what is coming in without asking around. In its 2025 report on small business technology, the government's SME Digital Adoption Taskforce found that the software on offer often feels built for larger enterprises, and that small firms worry about being locked in once their data is inside. A CRM built around your business, on a database you can export, answers both.

Any industry
There is no template to start from. These are the kinds of things businesses ask a CRM to hold, and yours will have its own list. We build the screens, fields and stages around it, and change them whenever you need.
Enquiries, site visits, quotes sent and chased, photos from each job, and the date every guarantee runs out.
Appointments, referrals and follow-up reminders, with patient notes that only the right staff can open.
Customers, orders and returns, and who asked to be told when a product comes back in stock.
Leads, proposals, retainers, monthly reports and the work due for each client. The Hub, below, is one of these.
Landlords, tenants and properties, viewings booked, and the date each safety certificate needs renewing.
Enquiries, bookings, course dates, and how far each learner has got through the qualification.
Our own CRM
As Seonat grew, we wanted everything about our clients and our work in one place, set up exactly the way we work. So we built the Seonat Hub. It is the CRM the three of us run the agency on, and it does things no off-the-shelf package would have done for us.
The Hub today looks quite different from the first version. We have added, merged and rearranged pages as the way we work has changed, and every note has come across each time. Yours can change in the same way.
What it needs
Whatever else yours does, these come as standard. Two are legal duties as well as good sense. Under UK GDPR, the ICO expects personal data to be reachable only by people you have authorised. And once a business tells you to stop calling, you must not call again, and the ICO's business-to-business marketing guidance says to keep them on a do-not-contact list rather than deleting them.
Each person and business appears once, with every contact detail on it, so two colleagues never ring the same customer about the same thing.
Notes, calls and emails build up as a timeline that cannot be deleted, so what was said stays on record.
Each follow-up comes to the person who owes it on the day it is due, so nobody has to remember to go and look.
Each person sees what their job needs and nothing else. We set that in the database itself, so it holds even when someone goes looking.
When someone asks you to stop, the CRM has to remember it. We build a suppression list in, so nobody gets rung again by a colleague who never heard.
Your records sit in a standard database that can be exported in full, so you are never stuck with a system, or with us.
How we build it
The work starts with the people who will use it every day, and it carries on after launch.
01
We sit with the people who will use it and follow a few real enquiries from first contact to finished job, then design the system from what we see.
02
Whether your records live in spreadsheets, an old CRM or a shared inbox, we bring them across and check them, so the first version opens on your real customers.
03
Your team works in it for real. Anything that gets in the way, anything missing and anything nobody uses comes back to us, and we change it.
04
When you add a service, take on staff or change how you quote, we update the CRM to match, so your team never has to work around it.
